Question:

I’m an executive who is convinced that VMS and Managed Services is the ideal solution for our company. However, I’m unable to get “buy in” from the front line managers. How can I get the hiring managers excited about the cost savings opportunity via VMS and Managed Services?

- Bill S.

Answer:

The problem you describe only confirms your need for the Managed Services/VMS program. Typically those higher up in the organization are the biggest advocates for VMS. VMS is a tool that provides robust reporting and detailed visibility into the use of temporary workers. While all parties benefit, the executive suite is able to easily produce complex real-time reports that can reveal problem areas or practices that can be improved.

Occasionally, front line managers want to stay “under the radar” when they bring in temporary resources. This maverick spending can also have the effect of pushing co-employment policies beyond set limits that often goes unnoticed until a problem surfaces, such as an IRS ruling that an independent should have been classified as a permanent employee.

An effective way to get your front line managers to enthusiastically participate in a Managed Services/VMS program is to point out the benefits they will experience including:
    • A dramatic reduction in the number of agency solicitation calls
    • Simple creation and distribution of approved job orders
    • Access to a library of job description templates
    • Organized repository of resumes, ranked by match to job description
    • Faster response time from suppliers
    • Elimination or reduction of individual rate negotiation
    • Organized time sheet process for all temporary workers including standardized and an identical schedule for time reporting
    • Burn down reports to stay current on project budgets
Often, your hiring managers’ behavior will change dramatically as they gain exposure to the VMS system through hands-on use. Initial resistance melts away, and is replaced by enthusiasm as they begin to embrace many of the features and realize many benefits.
